Privacy Policy

 

This policy explains why we collect personal information about our members, volunteers and coaches, how we use it and how we keep it secure and your rights in relation to it.  We reserve the right to amend this policy from time to time without prior notice.  You are advised to check the Club notice board regularly for any amendments.  All collection, use, sharing and storage of personal information will be in accordance with the legislative requirements, including the Data Protection Act 2018 and UK GDPR (UK General Data Protection Regulation).  

 

 

Who are we?

We are Beveridge Park Bowling Club.  We will be the data controller of all personal data we hold about you.  We are committed to protecting and respecting your privacy and your personal data.

What information do we collect about you?

We collect from you the information needed to run our Club, this includes:-

·        Contact Name

·        Address

·        Phone Contact Details

·        Email Address

·        Date of Birth

·        Emergency Contacts

 

Who do we share your information with and why?

1.     Name, address and contact details are shared with all the members of the Club to enable members to arrange club ties with fellow members.

2.     Members of the Committee will have access to all the information collected in the event of an emergency and contact having to be made with an emergency contact.

3.     Beveridge Park Bowling Club is affiliated to Bowls Scotland, and we may share information with them to communicate with members, share information and advertise events.  We may also pass your personal details to Bowls Scotland for the purpose of carrying out surveys when it is in the legitimate interest of the Club and Bowls Scotland to do so.  Bowls Scotland may use third parties to carry out the surveys but disclose only the personal data that is necessary for the third party to do so and will have a contract in place that require the third party to keep your information secure and not to use it for their own purpose.

4.     We may pass your personal data to third parties who are service providers, agents and subcontractors to us for the purposes of completing tasks and providing services to you on our behalf (e.g. to print newsletters and send you mailings).  We do this for the purpose of our legitimate interests in operating the Club.  However, we disclose only the personal data that is necessary for the third party to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own purposes.  It is possible that third parties may themselves engage others (sub-processors) to process your data.  Where this is the case third parties will be required to have contractual arrangements with their sub-processors that ensure your information is kept secure and not used for their own purposes.

5.     On occasion photographs may be taken at the Club during play or at events and these may be used on our website, in social media or in local newspapers for marketing of the Club.

 

How do we protect your personal information?

1.     We have implemented generally accepted standards of technology and operational security to protect your personal data from loss, misuse or authorised alteration or destruction.

2.     Please note, however, that where you are transmitting information to us over the internet this can never be guaranteed to be 100% secure.

3.     For any payments that we take from you online, we will use a recognised secure payment system.

4.     We will notify you promptly in the event of any breach of your personal data that might expose you to serious risk.

 

Your rights

You have the right to:-

·        Access your personal data;

·        Be provided with information about how your personal data is processed;

·        Have your personal data corrected;

·        Have your personal data erased in certain circumstances;

·        Object or restrict how your personal data is processed; and

·        Withdraw your consent to share information at any time.

 

How long do we keep your information?

1.     We will hold your personal data on our systems for as long as you are a member of the Club.  When you do not renew your membership, your personal information will be held for six years and then it will be securely destroyed.

2.     We will securely destroy all financial information once we have used it and no longer need it.
